Kolibri

Run an entire creator affiliate programme from one console — thousands of creators across two marketplaces, free-sample seeding with real guardrails, and one contribution figure nobody in the room can argue with. Nightly syncs where the API reaches, idempotent imports where it does not, tiers, sample approvals and payouts in one place, with paid collaborations mirrored from the team's own sheet — on a server the team runs itself.

Thousands of creators. Two marketplaces. One honest number.

Most affiliate software assumes the brand owns the link. In marketplace commerce it does not — creators promote through their own Shopee and TikTok Shop accounts, so performance never returns through a link the brand generated. It arrives days late, grouped by creator, platform and date. The team ran the programme on spreadsheets, a WhatsApp approval thread and a monthly export ritual, where a disputed figure was an argument rather than a lookup.

Kolibri is built on that grain instead of fighting it. Four nightly jobs pull the catalogue, creator and product performance and whole-shop orders on separate schedules, and where the API does not reach, spreadsheet imports correct the rows they match instead of duplicating them. Twenty-one role-guarded, bilingual pages cover tiers, sample seeding, paid collaborations, payouts and imports, deployed on the client's own server with no per-seat subscription. Kolibri case study: the client name has been changed, and every figure, creator name, product and screen shown here is illustrative and anonymized.

Product highlights

  • Two Feeds, Honestly Reconciled

Shop orders are live; the affiliate feed settles over a couple of days. Kolibri divides only across the days both feeds actually cover — uncorrected, the same data quietly understates the creator-driven share, and the error always runs the same way.

Kolibri dashboard with the affiliate-share tile annotated by the number of days that the shop-order feed and the affiliate feed both cover.
  • Guardrails That Advise, Never Block

Every sample request arrives with its risk in plain sight — tier below threshold, unfulfilled samples outstanding, monthly budget exceeded — beside what the parcel costs at COGS. The manager accountable for the budget still decides, and the reason is recorded.

Kolibri sample approval queue: a monthly budget meter counting committed and pending separately, above request cards carrying risk flags with the approve button still enabled.
  • Every Number Traceable To Source

Each fact row carries the sync run or import batch that produced it, and an audit log records every decision and change. When finance and marketing disagree about a figure, the answer is a click away instead of a fortnight of email.

Kolibri audit log filtered to one entity, showing the sync and import entries that produced a figure and the adjustment that followed, each with actor, action and timestamp.

Shop Sales And The Creator Share

The marketplace tells you what creators sold, not what that is worth as a proportion of the business. Kolibri pulls whole-shop orders alongside affiliate performance and divides the two against gross, because an order counts the moment it is placed — net and gross sales, cancellations, returns, revenue by province, and per-product totals with the creator-driven portion beside them.

A Roster Of Thousands, Kept Current

Creators arrive from the marketplace sync rather than data entry, and tiers are recomputed from rolling 90-day GMV — recent performance, not a lifetime total nobody can fall out of. The same thresholds drive the leaderboard and the bonus calculation, so the two can never drift apart.

Sample Seeding, Delivery To Published Content

Seeding is where affiliate budgets quietly leak, and the leak is usually a parcel that arrived and produced nothing. Kolibri groups approved samples by status — awaiting dispatch, in transit, completed — with courier and tracking per parcel, the delivery date, and the content deadline that starts at delivery rather than approval.

Kolibri sample shipment tracker grouped by status, listing courier and tracking number per parcel, shipped and delivered dates, and the content deadline counted from delivery.

Three Kinds Of Money, Never Added

Marketplace commission, the bonus the brand pays and the marketplace's monthly invoice are three different things, and two of them are the same money seen twice. Kolibri keeps them apart, shows the one figure finance can pay against, requires a reason on every adjustment, and locks rows once they are paid.

Kolibri commission and payouts ledger separating marketplace commission from the tier bonus and adjustments the brand actually pays, with a status badge on every row.
